GST/HST report navigation appears only when GST/HST tracking is enabled in Business Profile.
GST/HST Summary
- Open Reports > GST/HST Summary.
- Choose a Report Period. Its From and To dates remain visible and
read-only, or choose Custom Range to edit both dates and select Apply.
- Review the CRA-aligned working lines. Line 101 reports sales and other
revenue before GST/HST and provincial sales tax, including completed zero-rated or exempt income. Income/Other Income Journal Entry activity is included only when it carries an Exempt, Zero-rated, GST, or HST sales classification. A blank Sales Tax selection and Out of Scope are excluded. Lines 103 and 106 are calculated from completed bookkeeping records; the report also shows their calculated totals through Lines 105, 108, 109, 113A, and 113C. The Transactions value counts each source transaction once, including a split transaction that contributes more than one detail line.
- Lines 110 and 111 include only explicitly recorded return credits. Lines 104,
107, 205 and 405 are not supported and display a dash, not a calculated zero. Balance (Recorded Items) subtracts the recorded Line 110/111 credits from net tax; review unsupported items separately before filing.
- Select Line 101 to review its supporting income, Line 103 or 105 to review
collected-tax details, or Line 106 or 108 to review ITC details. Net and balance lines open the complete GST/HST detail for the same period. Use GST/HST Summary in the detail page to return without losing the selected period.
- Use Export CSV or Print when required.
Purchase refunds and credits reduce the related Line 106 input tax credit when they are posted to an eligible Expense or asset account. They are not treated as sales merely because money was received. The saved recoverable percentage also applies to eligible asset purchases. Likewise, reductions posted to an Income account reduce Line 103. Completed income marked Out of Scope is excluded from Line 101; exempt and zero-rated income remains included.
Record a filing or settlement
The selected period includes optional GST/HST filing & settlement tracking. Expand it only after you have reviewed your own records or completed your CRA filing.
- Select Reviewed to retain a manual review acknowledgement.
- Select Filed after you have filed the return yourself.
- To select Filed, enter both the filed date and CRA confirmation/reference.
- If a payment was made or a refund was received, select that settlement type
and record its date and reference.
- To record a settlement, enter both its date and payment/refund reference.
- Select Save filing record.
Before saving, xBoox recalculates the exact selected period. If Line 101 revenue, tax totals, or currency changed after the report loaded, refresh the report and review the current figures before saving. If another user changed the filing record, or a bookkeeping change occurred while saving, xBoox rejects the stale save and asks you to refresh. The filing record and its audit entry are saved together. Saving also preserves a snapshot of Line 101 revenue, calculated collected tax, ITCs, net tax, total other credits, and currency shown for that period. If historical bookkeeping is changed later, use the snapshot to identify that the current calculation differs from the amount previously reviewed or filed.
xBoox saves this as a Workspace audit record. It does not file with the CRA, create a payment or refund, link a bank transaction, clear account 2500 GST/HST Payable, or move an instalment from account 1300 automatically. Record the actual bank transaction using the appropriate reviewed Category and retain CRA evidence with your records. Ask an Accountant when a filing-period difference needs an accounting adjustment.
While a period remains marked Filed, xBoox blocks Journal Entries dated in that period, including reversals. Return the filing record to Reviewed before making the change, then review the updated report and filing evidence again.
GST/HST Detail
- Open Reports > GST/HST Detail.
- Use the same period controls.
- Review transaction-level tax records and saved tax snapshots.
- Use Export CSV or Print for supporting review.
Detail groups records under Line 103 and Line 106. Line 110 and Line 111 groups appear when the selected period contains recorded instalments or rebates. Select a group to expand it, or use Expand All / Collapse All. Opening Detail from a Summary line opens that group for the same period; Line 101 has its own revenue drilldown.
Columns show Date, Transaction Type, reference number, Memo / Description, Name, Tax Code, Tax Rate, Net Amount, Amount and Balance. Amount is the tax or return credit for that group (revenue for the Line 101 drilldown). Balance runs in date order within the group even when another column is sorted. Source lines remain separate, including reversal lines and explicit zero-rated transaction rows. A missing historical rate or net amount is shown as a dash, not inferred from today's tax configuration. GST/HST rate excludes PST.
Each expanded group starts with 50 records per page. Use Rows per Page to choose 50, 100, 200, 300 or 500 records, and Previous / Next to move through that group's records. Changing the page size resets all groups to their first page. Its total includes every record in the selected period. CSV and Print include every matching record, regardless of collapsed groups or pagination. Select a transaction or Journal Entry row to open its source details.
Record an instalment or rebate
In GST/HST Summary, expand Return Adjustments (Lines 110 / 111). Workspace Owners and members with transaction-edit access can:
- Select the full return period before recording the adjustment.
- Choose Line 110 for instalments/other annual filer payments, or Line 111 for
rebates. Choose from supporting evidence; an existing account balance or another software's line label does not determine the correct classification.
- Enter a date within that period, positive amount, description and unique
evidence reference. Optionally link an existing unreversed Journal Entry by its number in this Workspace.
- Select Save Adjustment. The record contributes to its Detail group,
Summary Line 112 and the recorded balance, but creates no ledger posting, bank payment or CRA filing. Record any required accounting separately.
- To correct a record, use Void, then enter its replacement. The audit
history remains. A filed period must first be returned to Reviewed.
A repeated save with the same request does not duplicate the credit. Active records cannot reuse the same evidence reference or Journal Entry. Linked Journal Entries are evidence only: later source changes do not automatically change the return credit; review and correct the adjustment when needed.
Reports include a credit only when its entire recorded period is within the report range. Partial overlaps are excluded with a notice, and filing tracking cannot be saved for such a partial range. Filing snapshots now also retain total other credits; older snapshots show that value as not recorded. Historical records are not automatically reclassified or backfilled.
Data rules
- Reports use tax amounts stored on completed transactions.
- An explicitly adjusted GST or HST component uses its confirmed saved amount;
the report does not recalculate that component from the current tax rate. A Split contributes its saved line components using each line's money direction. PST and QST remain separate provincial amounts.
- Dashboard uses the same collected-tax and recoverable-ITC calculation for
the selected date range, including the saved recoverable percentage and signed refund adjustments. Its GST/HST Owing card displays zero when the period has a net credit; open the report to review that credit.
- GST/HST return direction follows the posting account's accounting
classification and Money Direction. A money-in refund posted to an Expense or eligible asset account reduces ITCs instead of increasing tax collected. Split asset purchases and refunds follow the same rule as non-split activity.
- Imported explicit tax may retain an override flag and source values.
- Historical transactions retain saved tax-code labels and rate snapshots when available.
- PST may be stored for audit and expense treatment but is not the same as a GST/HST input tax credit.
Important boundaries
These reports do not:
- file GST/HST;
- compare xBoox automatically with a filed return or CRA balance;
- create a remittance, refund, or automatic account-clearing entry;
- guarantee tax eligibility or treatment.
Use the reports for review and Accountant handoff.

Note and memo length
Note, memo, description, and review-reason inputs use a single line. Use the left and right arrow keys to move through longer text without expanding the form. New or edited text is limited to 500 characters; typing stops at the limit, and pasted text is silently shortened. No character counter or extra dialog appears. Existing longer notes are preserved when you save other changes without changing that text. Imported working Bank Memo fields are limited to 500 characters; the original import source is retained separately.
Home Office input tax credits
A company Home Office Working Paper contributes its recoverable GST/HST to Line 106 only after its controlled Journal Entry is posted, using the entry date. The linked reversal offsets that ITC on its reversal date. Older controlled Home Office entries are included even if they predate explicit return-line metadata; their original ledger amounts are not rewritten. A saved paper alone does not add an ITC posting. See Home Office Working Paper.
Saved changes and report updates
A successful bookkeeping change reloads the currently open report. Other reports update when opened. Applied periods and filters remain selected; detail sorting and page size remain selected, with the page adjusted if fewer pages remain. If the report cannot reload after a successful save, refresh it without entering the transaction again. See Choose the right xBoox report for Category changes and split-transaction membership.
Identify reversal Journal Entries
In transaction detail rows, a generated reversal appears as Journal Entry (Reversal). The original entry remains Journal Entry, including after it has been reversed. The label uses the saved reversal relationship rather than words in a Description or Note. CSV exports and printed detail reports use the same label. Select either entry to view its own posted details and reversal relationship.
Purchase credits
A purchase refund against an Expense Category reduces the corresponding purchase tax/ITC amounts according to the saved tax snapshot. Its Deposit or Credit Card Credit document name does not turn it into sales tax collected on revenue. Review the vendor's credit document when choosing tax components; a classification-only update does not recalculate historical tax amounts.
Report Period offers month, year (and eligible fiscal-year) presets and Custom Range. This Quarter and Last Quarter are not preset choices; use Custom Range for those dates.
