Review the Balance Sheet
Review Assets, Liabilities, and Equity at a period end, or compare two period-end snapshots.
Review Assets, Liabilities, and Equity at a selected period end.
Steps
- Open Reports > Balance Sheet.
- Choose a Report Period. Presets show read-only From and To dates;
choose Custom Range to edit them, then select Apply. Editing a partial date does not reload the report. The Balance Sheet remains a snapshot as of the To date. From defines the profit period shown in Equity.
- Expand Assets, Current Assets, Non-current Assets, Liabilities, Credit Cards,
Equity, and other groups to review their accounts and subtotals.
- Select an account row to open its Transaction Report for the current
Balance Sheet period. It shows Transaction date, Transaction type, Account Name, Item split account, Amount, and running Balance, including the balance brought into the selected period and the account total. Transaction dates use the same unambiguous YYYY-MM-DD format as Bank Transactions. Select any column heading to sort ascending or descending. The report shows 50 rows per page by default and also offers 100, 200, 300, or 500 rows per page with Previous and Next controls, so a large account history is not rendered as one oversized table. A saved account opening balance that becomes effective on or before the selected To date is included in the brought-forward amount so the detail ending balance reconciles to the Balance Sheet. Retained Earnings (or Owner's Equity for a sole proprietor) also includes profit carried from earlier periods in its brought-forward amount. Select a transaction row to continue to its source detail. Expense and Income rows load the selected record on demand and open the existing transaction drawer, including older records outside the current Expenses or Income list. A Bank Transaction source allows Category, Tax, Note, Tags, and attachment corrections while imported bank facts remain locked under the existing permissions. Journal Entry rows open the posted Journal Entry detail, and Transfer rows locate the record in Transfer History. The Back to Balance Sheet action restores the currently applied Report Period, From, and To. The Transaction Report initially inherits the Balance Sheet selection. Its shared Report Period controls support presets or Custom Range with Apply, plus Refresh, CSV download and Print.
- Confirm that the report balances according to the displayed accounting presentation.
- Use Export CSV or Print when required.
If a Transaction Report cannot load, xBoox displays the shared system error dialog and leaves a Try again action on the report. Include the displayed Reference ID when requesting support; internal error codes and technical stack details are not shown in the report.
Current Period Net Income is a calculated summary, not a Chart of Accounts row, so it does not open as one account. Review its supporting activity in Profit and Loss instead.
How to read it
- Assets represent resources and eligible account balances.
- Liabilities represent amounts owed.
- Equity represents owner or shareholder interest and applicable accumulated results.
- Current Period Net Income connects the Profit and Loss activity between From
and To to Equity.
Posted Journal Entry lines affect applicable Balance Sheet accounts. A posted reversal offsets the original entry while preserving history.
Balance Sheet uses the same completed-transaction and Journal Entry ledger as General Ledger and Trial Balance. Unmatched raw bank rows do not become account balances. Inactive accounts with historical balances remain visible, and an opening balance is paired with Opening Balance Equity.
Important boundaries
- Balance Sheet remains an as-of report. It is a cumulative snapshot through one
To date, not a total of activity between From and To. Profit before From is carried into Retained Earnings or Owner's Equity so the statement stays balanced.
- Use Reports > Balance Sheet Comparison to compare the selected period end
with the matching previous period. It shows current, comparison, dollar change, and percentage change columns. Accounts that exist only in the previous snapshot remain visible with a zero current balance. Presets use the complete immediately preceding calendar or fiscal period. When the previous balance is zero, percentage change is shown as an em dash because there is no meaningful baseline.
- Profit and Loss is different: it totals activity that occurred during its date range.
- Reconcile verifies imported account rows against a statement; it is not replaced by viewing the Balance Sheet.
- Missing or incorrect opening balances can affect the usefulness of account balances.
- xBoox does not automatically create every depreciation, CCA, loan, or year-end adjustment.

Transaction Report presentation
The account detail shares the Profit and Loss report toolbar, heading, sorting, pagination and footer. It shows Transaction Date, Transaction Type, Description, Account Name, Item Split Account, Amount and Balance. Item Split Account includes both account number and name when available. Description uses the existing ledger display description, memo or line description, including Journal Entry notes. Long text is shortened in the table and available on hover.
Beginning Balance is retained. One TOTAL row shows net activity for the full selected period, not just the displayed page. Balance is the running account balance at each record's original accounting position; sorting changes display order without recalculating it. Expense/income activity uses the shared report amount colours; accumulated balances and non-income/expense activity remain neutral. Clickable amounts underline on hover and open the same source detail as the row.
CSV includes all records and Description in the displayed sort order. Print includes all records, the period, Beginning Balance and the single TOTAL, without navigation or pagination controls. Download and Print are unavailable while the report is loading or after a failed refresh.
Saved changes and report updates
A successful bookkeeping change reloads the currently open report. Other reports update when opened. Applied periods and filters remain selected; detail sorting and page size remain selected, with the page adjusted if fewer pages remain. If the report cannot reload after a successful save, refresh it without entering the transaction again. See Choose the right xBoox report for Category changes and split-transaction membership.
Journal Entry rows
Transaction Report preserves each original Journal Entry account line, including multiple lines in the same entry for the same account. Automatically generated tax lines from the same entry and account are combined into one net Amount. Directly entered tax-account lines remain separate. Separate Journal Entries, including reversals, remain separate; net-zero tax groups remain visible. Counts, pagination, CSV and Print follow the same rule. Balance retains the original running ledger balance; grouped tax rows use the balance after the last generated line. Select any row to view the complete Journal Entry. This presentation does not change posted amounts or tax calculations.
Identify reversal Journal Entries
In transaction detail rows, a generated reversal appears as Journal Entry (Reversal). The original entry remains Journal Entry, including after it has been reversed. The label uses the saved reversal relationship rather than words in a Description or Note. CSV exports and printed detail reports use the same label. Select either entry to view its own posted details and reversal relationship.
Report Period offers month, year (and eligible fiscal-year) presets and Custom Range. This Quarter and Last Quarter are not preset choices; use Custom Range for those dates.
Transaction Report separates Item Split Account (the transaction payment bank or credit-card account), Account Name (the account being reviewed), and Category (the transaction classification). Item Split Account appears between Description and Account Name. The same columns and order are used for CSV and print. Journal Entries without a transaction payment account show a dash in Item Split Account and Category; the source entry opens from the row. Amounts, running balances and report totals are unchanged.
